A supplier deviation approval should identify exactly what is being accepted and where that acceptance stops. A short message saying “approved” can otherwise be reused for another lot, revision, or condition. Define the scope so that production and receiving can apply the decision consistently.

Bosch’s supplier quality requirements provide a concrete example of a concession process for product that differs from specification. Customer arrangements vary; use the applicable purchasing and engineering process rather than assuming one company’s procedure governs every order.

Describe the deviation precisely

Record the affected part, revision, requirement, observed condition, and proposed disposition. Include quantitative evidence where the characteristic is measurable. “Slightly different” is not a usable description of what the reviewer evaluated.

Identify the affected lot, serial range, quantity, or other boundary. If the scope is not yet known, retain that uncertainty and complete the investigation before issuing a broader acceptance. Avoid converting an estimate into a definitive affected-unit list without evidence.

State the acceptance conditions

Boundary Information to define
Product Part and revision covered
Material population Lots, serials, or authorized quantity
Use condition Any restrictions or additional verification
Validity Expiry or event that ends the permission

Explain the technical basis for acceptance and any remaining limitations. The decision may depend on a particular application, assembly configuration, or test result. Preserve those dependencies rather than recording only the approver’s name.

Connect approval to material movement

  1. Keep affected material identifiable during review.
  2. Issue the disposition through the authorized process.
  3. Link the approval identifier to receiving and build records.
  4. Track the covered quantity or population.
  5. Close the permission when its boundary is reached.

Make clear whether rework, additional inspection, or another action must occur before use. An approval with conditions is incomplete until those conditions have evidence. State who verifies each condition and where that verification result will be stored before material is released. Do not interpret permission to evaluate material as permission to release it to production.

A temporary deviation should not silently edit the master drawing or approved BOM. If the change is intended to become permanent, handle that through the normal design-change process and assess its wider effects. Preserve the original specification and the temporary exception as distinct records.

At the next order, verify that the supplier has returned to the standard requirement or obtained a new applicable disposition. The purpose of a bounded approval is to make a specific engineering decision usable without allowing it to expand through assumption.
