Manufacturer suffixes removed
Suffixes may define package, temperature or packing. Keep the full orderable identity and verify it against the manufacturer's documentation.
Make every component line unambiguous before procurement begins.
A useful BOM service begins by reconciling the bill of materials with the design, then identifying sourcing and lifecycle risks before parts are purchased. It should distinguish exact approved items, proposed alternatives and unresolved lines. Price and stock snapshots do not prove interchangeability or authenticity. Give each line a complete manufacturer part number, reference designators, fitted quantity and variant status so that engineering and purchasing work from the same configuration.
Separate manufacturer names, part numbers, quantities and reference designators into consistent fields. Preserve leading zeros and suffixes, which can identify meaningful package or rating differences. Reconcile fitted quantity against reference designators and mark excluded positions explicitly. A clean spreadsheet should make uncertainty visible, not silently fill missing information from a similar catalogue item.
An alternate needs more than the same nominal function. Compare package, pinout, electrical limits, tolerance, operating range and any firmware dependency relevant to the circuit. Record the engineering approver and affected design revision. If the change requires a footprint or software modification, treat it as a controlled design change instead of a purchasing substitution.
Record the seller and purchasing channel, not just a stock quantity. Prefer manufacturer-authorized routes where available and document any exception before buying. A marketplace listing is a lead to investigate, not proof of supply or authenticity. Keep the original source information with incoming records so a later discrepancy can be investigated effectively.
Show quoted quantity breaks, minimum buys, packaging and noncancelable commitments separately from fitted quantity. Identify long-lead or lifecycle-sensitive parts that could constrain the whole build. Give each unresolved item an owner and a required decision date. This lets a buyer evaluate the full kit rather than optimizing cheap lines while a single unavailable device blocks assembly.
| BOM status | Meaning | Required next action |
|---|---|---|
| Exact and available | Approved identity with a reviewed source | Confirm quote validity and purchase quantity |
| Exact but constrained | Correct item has a supply problem | Review schedule or approved alternate |
| Alternative proposed | Candidate is not yet released | Obtain engineering approval |
| Incomplete identity | Part number or package is ambiguous | Resolve from design records |
| Customer supplied | Stock is outside procurement scope | Confirm quantity, condition and arrival |

A description cannot establish pin or behavioral compatibility. Retain exact approved part numbers.
Availability can change and may depend on seller conditions. Reconfirm before committing a build schedule.
Include reference designators, fitted quantity, manufacturer, complete part number, description or value, footprint and variant status. Add approved alternatives and sourcing responsibility where relevant.
No spreadsheet review can provide that guarantee. Source selection, purchase records and incoming controls work together; unresolved supply exceptions need explicit review.
Identify the product requirement and remaining demand first. Compare authorized remaining stock, a validated alternate or redesign, accounting for testing and inventory commitments.
Check each source’s scope and revision against your project requirements. Confirm the proposed construction with your manufacturing partner.
Create a BOM cleanup and sourcing action list from the problems present in your file.
Use this planning aid to prepare a review. It does not approve a design or estimate a price. Selections are processed locally and are not submitted by this tool.
Paste CSV columns for MPN, Quantity and References. This local check finds missing values, duplicate reference designators and quantity inconsistencies. It does not check component availability, authenticity or whether a selected part fits your design.
